Glossary

The words ChowChirp uses on screen and in these docs, defined plainly.

86. Taking a dish off the menu for now, with a reason: stockout, prep shortage, equipment down, food-safety hold, staff skill or manual.

Aging. How long a bill has been unpaid past its due date, in buckets: current,to 30,to 60,to 90, overdays.

Alias (vendor). A printed supplier-name variant bound to a canonical vendor so future invoices match automatically.

Audit trail. The append-only record of who did what and when. Corrections add entries; nothing is edited in place.

Cash floor. The minimum cash position an outlet must keep; payment runs are checked against it.

Cash session. The period a physical drawer is open, from float to blind count. One drawer, one live session.

Confidence badge. The label on a figure that says what it is based on and what would raise it.

Corrective action (CAPA). A tracked fix for a problem: created, assigned, started, completed, verified, then judged effective or not.

Deviation. A temperature reading outside a unit's limit, open until acknowledged and recovered.

e-Invoice. Malaysia's LHDN MyInvois electronic invoice. ChowChirp keeps issued, consolidated and self-billed records and their validation identifiers.

Feasibility. Whether a dish can be sold from the stock on hand, checked against the last physical count.

GRN. Goods received note: the receiving record for a delivery.

Match status. Whether a bill agrees with its purchase order and delivery: matched, variance or unmatched.

Operating profile. The outlet's declared source of truth for order capture: ChowChirp's own counter or an external POS.

Outlet. One restaurant location. People, stock, rosters and money are scoped to outlets within an organisation.

Organisation. Your company or group. Chosen at login. All outlets belong to it.

Proposal. An action suggested by the advisor, shown as a card with a before-and-after diff, that a person approves, edits or dismisses.

Purchase order (PO). The record of what you ordered from a supplier; deliveries and invoices are matched against it.

Record-only. A finance action that ChowChirp records but does not perform: payments, SST filing, most e-Invoice submissions.

Requisition. An internal request to buy, before it becomes a purchase order.

RFQ. Request for quotation: asking several suppliers to quote before ordering.

Service charge. The percentage added to bills and distributed to staff. Not a tax.

Spot count. A quick count of a few items between stocktakes.

Stocktake. A full count of every item that produces a variance.

Support session. An owner-approved, time-boxed, read-only window for ChowChirp support to diagnose a problem.

Variance. The difference between what the ledger expected and what was counted, or between a bill and its order.

Workspace. A sidebar arrangement for a role (Owner, Manager, Finance, Kitchen, and so on). It changes what you see first, never what you may do.
