Map supplier name aliases

Teach ChowChirp that a supplier name variant on an invoice belongs to a known vendor, so future extractions match on their own.

Suppliers print their name in many ways: with or without "Sdn Bhd", abbreviated, or in a different order. An alias binds a printed variant to the canonical vendor so the next invoice matches without a person.

Before you start: the vendor exists in Settings › Inventory › Catalogue › Suppliers. Alias approval is a manager or owner action.

Suggest an alias from the review screen

  1. Open the document in Inbox › Review.
  2. In the Supplier field, the extracted name is shown. If it does not match a known vendor, choose Suggest alias.
  3. Pick the canonical vendor. The suggestion is queued.

Suggest an alias by hand

  1. Open Inbox and scroll to Vendor aliases.
  2. Type the supplier name exactly as it appears on paper, set the source to Manual, and click Suggest alias.

Approve suggestions

Pending suggestions are listed under Vendor aliases with their source: manual or extraction. Approve each one to bind it, or reject it. An approved alias applies to every future extraction for the outlet's organisation.

Notes

  • Aliases never auto-approve. A name-similarity match is a suggestion until a person binds it.
  • "Sdn Bhd", "Bhd" and "Enterprise" are ignored when comparing names, so you rarely need aliases for those.
