How-to guides

Short, task-focused instructions for a specific job.

  • Capture an invoice

Add a supplier invoice by upload, camera or save-for-later, and understand scanning, duplicates and the offline queue.

  • Review and approve an invoice

Check the fields the AI read, fix what is wrong, accept confident documents in bulk, and approve so the bill posts to Payables and Stock.

  • Handle a blocked file

Rescan, release, hold or dispose of a document that failed the virus scan or was quarantined.

  • Map supplier name aliases

Teach ChowChirp that a supplier name variant on an invoice belongs to a known vendor, so future extractions match on their own.

  • Record a supplier payment

Schedule a payment, build a payment run against the cash floor, pay in your bank, then record the settlement, dispute or write-off.

  • Log a petty cash claim

Record a small cash expense with a receipt photo, approve it against policy, and reconcile the float.

  • Receive a delivery

Receive goods against a purchase order, confirm a direct bill, or record an exceptional delivery with no order, and capture batch and expiry evidence.

  • Run a stocktake

Count every item in an outlet on a phone, submit the count, and read the variance it produces.

  • Log waste

Record wasted or spoiled stock with a reason so variances are explained, and keep an eye on items about to expire.

  • Transfer stock between outlets

Move stock from one outlet to another with the cost carried across, and record the discrepancy if the receiving outlet counts a different quantity.

  • Create a purchase order and send it on WhatsApp

Build an order from the order guide or a requisition, check the tax codes, mark it sent by WhatsApp or email, and record the supplier's reply.

  • Run a request for quotation

Send a request for quotation to several suppliers, record their responses, compare them, and award the best one into a purchase order.

  • Build and publish the weekly roster

Fill the week by station or person, clear the guardrail warnings, publish, and collect acknowledgements and swap requests.

  • Approve timesheets and run payroll

Clear the time board, lock the period, then walk a payroll run from draft to paid, with exceptions, advances and reversals.

  • Distribute service charge

Share the period's service-charge pool equally, by hours or by role weight, with lines that always add up to the pool.

  • Log a temperature deviation

Record a reading outside the limit, acknowledge the deviation with the corrective action you took, and recover it.

  • Run a cleaning checklist

Complete a scheduled or on-demand checklist run, handle a critical fail, and sign it off as a manager.

  • Generate and share an inspection pack

Assemble the food-safety evidence for MOH, JAKIM, DBKL or MeSTI into a pack, share it through an expiring link, and revoke it afterwards.

  • Switch to Bahasa Melayu

Change your own language between English and Bahasa Melayu without affecting anyone else.

  • Enrol a second factor

Set up an authenticator app or a passkey, keep recovery codes safe, and step up when an action asks for a fresh code.

  • Invite a team member and set outlet access

Send a single-use invitation with a role and outlets, preview an access change before confirming it, and remove access when someone leaves.

  • Approve a support access request

Review, approve, deny or revoke a time-boxed, read-only support session, and know what the support team can and cannot see.

  • Ask the advisor and approve a proposal

Open the advisor rail, ask a question about your own numbers, read the citations, and approve, edit or dismiss a proposal.

  • Set up the daily briefing

Turn on a short morning summary to a verified WhatsApp or Telegram channel, with consent and a reserved budget recorded.

  • Export data for your accountant

Request payables, petty cash, P&L, aging and people exports, download them through the one-time link, and read the redaction summary.

  • Pair a kitchen display

Mint a pairing code as an owner, enrol the tablet, unlock the station with a staff PIN, and revoke a device that is lost.

  • Sell at the counter

Build an order, send it to the kitchen exactly once, take cash, finalise the sale and print the receipt, with recovery if the connection drops.

  • Close the cash drawer

Open and close a cash session, count blind, resolve the variance, prepare the deposit with custody details, and record the operational close.

  • Review a POS exception

Disposition voids, no-sales and discounts by severity, under separation of duties, and record shrinkage from waste, transfers and vendor claims.

  • Reconcile the till and prepare a deposit

Work till variances, safe counts and deposits from the cash reconciliation board, log a counterfeit note, and export the variance list.

  • Open a loss-prevention case

Open a case with a lawful basis, evidence references and a confidentiality level, advance it, and release an evidence packet to a named recipient.

  • Trace a number in the audit explorer

Follow any figure back to the entry that produced it, filter the audit trail by domain, actor and event, and read a command's before and after.

  • Read the plate cost docket

Understand batch cost, plate cost, food-cost percentage and the on-target, watch, over and uncosted stamps, and test a price change with the what-if slider.

  • Use the allergen matrix

Answer a guest's allergy question with the safe-items filter, read the 14 allergen codes, and act on the missing-recipe warning.

  • Check dish feasibility before service

See which dishes are ready, at risk or 86'd based on the last physical count of each ingredient, and expand a dish to see what is short.

  • Import delivery platform settlements

Record a GrabFood or foodpanda payout by pasting the settlement lines, confirm platform-side actions, and reconcile against sales.
