Run a request for quotation

Send a request for quotation to several suppliers, record their responses, compare them, and award the best one into a purchase order.

A request for quotation (RFQ) collects prices from several suppliers for the same items before you commit to an order.

Before you start: procurement write access. The suppliers you want to ask must exist in the catalogue.

Draft the RFQ

  1. Open Purchasing › RFQs and click New RFQ.
  2. Add the items and quantities, the delivery window and the closing date for responses.
  3. Choose the suppliers to invite. Save the draft.

Send it

Choose Mark sent once you have sent the request to each supplier through your usual channel. The RFQ moves to Sent, then Collecting as responses arrive.

Record responses

For each supplier reply, open the RFQ and choose Record response. Enter the unit price per line, lead time in days, minimum order quantity and how long the quote is valid. Responses past their validity date are flagged as expired.

Compare

Expand the response comparison on the RFQ. Each supplier's price, lead time, minimum order and validity sit side by side. For a longer-term view, open Purchasing › Suppliers › Compare to see items against suppliers with a headline score and unit price per cell.

Award

Choose Award quote on the response you want. The RFQ closes and a purchase order is created from the awarded quote, ready to send. See Create a purchase order.

Close or cancel

An RFQ with no acceptable response can be closed or cancelled. Illegal transitions are disabled with the reason shown.
