Suppliers print their name in many ways: with or without "Sdn Bhd", abbreviated, or in a different order. An alias binds a printed variant to the canonical vendor so the next invoice matches without a person.

**Before you start:** the vendor exists in **Settings › Inventory › Catalogue › Suppliers**. Alias approval is a manager or owner action.

## Suggest an alias from the review screen

1. Open the document in **Inbox › Review**.
2. In the **Supplier** field, the extracted name is shown. If it does not match a known vendor, choose **Suggest alias**.
3. Pick the canonical vendor. The suggestion is queued.

## Suggest an alias by hand

1. Open **Inbox** and scroll to **Vendor aliases**.
2. Type the supplier name exactly as it appears on paper, set the source to **Manual**, and click **Suggest alias**.

## Approve suggestions

Pending suggestions are listed under **Vendor aliases** with their source: manual or extraction. Approve each one to bind it, or reject it. An approved alias applies to every future extraction for the outlet's organisation.

## Notes

- Aliases never auto-approve. A name-similarity match is a suggestion until a person binds it.
- "Sdn Bhd", "Bhd" and "Enterprise" are ignored when comparing names, so you rarely need aliases for those.
