Petty cash claims go through the same document pipeline as invoices, with the policy limits applied automatically.

**Before you start:** finance access for the outlet. Approving claims and reconciling the float are manager or owner actions.

## Policy limits

| Rule | Value |
| ---------------------- | ------- |
| Maximum per entry | RM1,000 |
| Receipt required above | RM30 |
| Float target | RM500 |

The form enforces these. A claim above RM30 without a receipt cannot be submitted.

## Log a claim

1. Open **Money › Finance › Petty cash › Claims**.
2. Click **New claim** and photograph the receipt or upload it. Merchant, amount and date are pre-filled from the receipt where the AI can read them.
3. Choose the category and add a note if the purpose is not obvious.
4. Submit.

## Approve or reject

Managers see pending claims in the same tab. Open a claim, check the receipt in the preview, and choose **Approve** or **Reject** with a reason.

## Reconcile the float

1. Count the cash in the tin.
2. Open **Reconcile float** and enter the count. The screen shows approved claims since the last reconciliation and the expected balance.
3. Record the reconciliation. A difference is recorded as a variance, not hidden.

## Check for leakage

The **Analysis** tab lists approved claims with no receipt attached and a category breakdown for the period. Chase missing receipts before month end.

## Export

Choose **Request accountant export** for the period. The file lands in **Exports**.
