Malaysia's e-Invoice system (MyInvois, run by LHDN) validates invoices centrally and returns a unique identifier and QR code. Here is what that means for a restaurant, and exactly what ChowChirp does with it.

## The rules, in brief (checked 16 September 2026)

- From 1 September 2026, businesses with annual revenue below RM3 million are exempt from mandatory e-Invoicing. Related-company and holding structures can affect eligibility, so multi-outlet groups should check with their accountant.
- Businesses between RM1 million and RM5 million are in Phase 4, with the interim relaxation running to 31 December 2027 and penalties from 1 January 2028.
- Walk-in sales are covered by one **consolidated** e-Invoice per month, due within seven calendar days after month end, using the general public buyer identifier. Any single transaction of RM10,000 or more needs its own e-Invoice.
- Delivery platforms issue the consumer e-Invoice for platform orders and self-bill you for commissions. Your consolidated e-Invoice covers direct sales only.
- After validation there is a 72-hour window to cancel or reject; after that, corrections go through credit, debit or refund notes referencing the original.
- A PDF without the validated identifier and QR is not a valid e-Invoice.

## What ChowChirp records

The **e-Invoice (MyInvois)** screen under Finance has four lanes:

| Lane | What it holds |
| ------------ | --------------------------------------------------------------------------------------------------------- |
| Issued | e-Invoices you issue to customers who ask for one, with a step-by-step record |
| Consolidated | The monthly record of walk-in sales, with RM10,000-and-over transactions flagged for individual treatment |
| Inbox | Supplier e-Invoices received, pulled from MyInvois where a connection is configured |
| Config | The organisation's identifiers and connection status |

Each record shows whether it was **recorded**, **sent** or **validated**, and stores the validation identifiers (UIN, Long ID, Validation ID) when the authority returns them. The invoice review form has the same fields so supplier e-Invoice evidence can be captured on a bill.

## What ChowChirp sends

Where a MyInvois connection is configured for your organisation, the consolidated submission and the supplier inbox pull reach the authority, and TIN validation is live. Issued and self-billed records are kept as a record trail for your accountant. Nothing is ever labelled _validated_ on its own; only an LHDN validation sets that state.

## At the counter

A customer who asks for an e-Invoice gets a request record created from the receipt. Once a validation is returned, the MyInvois QR appears on the receipt. Until then the receipt is a normal receipt.

## What to do with this

1. Decide with your accountant whether you are in scope, and whether voluntary adoption helps you, for example with corporate catering customers who need e-Invoices.
2. Keep the consolidated record every month either way. It is cheap and it makes the month-end close cleaner.
3. Capture supplier e-Invoice identifiers on bills as they arrive, so input records are ready if asked.
